The $41,200 staffing failure that built this audit
In 2019, a venue owner came to me in June. She had just lost $41,200 to a staffing failure — a coordinator who had been managing the entire event calendar out of her personal notebook quit in March with two weeks' notice. Three events were double-booked. Two more had wrong headcounts in the system. One deposit was missing entirely.
When I sat down with her team, the root cause wasn't the coordinator. It was that every pre-event check was informal. No documented list. No ownership. No sign-off. The system lived in one person's head — and heads are unreliable.
This checklist is what I built for her. I've refined it across 20+ venue engagements since. It won't guarantee a perfect event. But it will surface the gaps before they become emergencies.
